How to deal with diversity in your accounts receivable portfolio

Learn from Maandag®

How is the accounts receivable department doing, for example? In this case, Joyce Visser, Back Office Manager, tells us more about her department within Maandag®. Maandag® deals with a wide variety of debtors, from schools to healthcare institutions and municipalities. All these institutions have their own streams of payments to make. “For example, schools are closed for 6 weeks in the summer, and healthcare institutions run a set route before payments are made. This creates a need for customization,” Joyce says.

A tool for customization

To perform customization, it is important to be able to distinguish between debtors within the debtor management department. This is necessary to take the right action at the right time, but also to properly assess risks. “In organizations without a large safety net, payment can sometimes be a bit tense. To deal with this in the right way, we sort our debtors into different profiles. It is important to have flexibility in this; otherwise, you would have to use one working method for all relationships.” In order to be able to realize different working methods and thus be able to deliver customized solutions, Maandag® uses the credit management software TRUST IT. In TRUST IT, you can, for example, set it up so that the contacts from profile A are not called after 10 days but are sent an automatic reminder. Relations under profile B will be called after 10 days. This credit management software is also the basis for debtor management within Maandag®. The workload of the department is clear from the TRUST IT dashboard in one overview.

Overview in the dashboard

At the start of the day, the credit management software TRUST IT is immediately opened. In the dashboard, the accounts receivable management department immediately sees what needs to be done: What is the status of the disputes? Which relationship needs to be contacted by phone? When an action has been performed, it is immediately checked off. “Our colleagues at Whoohoo in Belgium also use TRUST IT. They have their own environment with their own actions. In one overview they can see what needs to be done,” says Joyce. It happens regularly that Maandag® wants something changed in the TRUST IT environment: a field addition, a textual change in the email invoice or a change in the profiles. Through the helpdesk of TRUST IT, custom changes can be passed on, which will be adapted on short notice.

Secondment and Collection

Bij de start van de dag wordt direct de credit management software TRUST IT geopend. In het dashboard ziet de afdeling debiteurenbeheer direct wat er moet gebeuren: Wat is de status van de disputen? Met welke relatie moet er telefonisch contact worden opgenomen? Wanneer er een actie is uitgevoerd, wordt deze direct afgevinkt. “Ook onze collega’s van Whoohoo in België maken gebruik van TRUST IT. Zij hebben hun eigen omgeving met hun eigen acties. In één overzicht kunnen zij zien wat er gedaan moet worden”, zegt Joyce. Het komt met regelmaat voor dat Maandag® iets gewijzigd wil hebben in de TRUST IT omgeving: een veldtoevoeging, een tekstuele wijziging in de e-mailfactuur of een wijziging in de profielen. Via de helpdesk van TRUST IT kunnen maatwerk wijzigingen doorgegeven worden, welke op korte termijn aangepast worden.

Secondment and Collection

Besides the operational contact with the helpdesk, Maandag® also attended one of the knowledge sessions organized by TKB, of which TRUST IT is part. In these knowledge sessions, relatives of TKB like Maandag® were invited to spar with each other and discuss debtor management. Maandag® is also in regular contact with a business consultant from TKB. In these sessions, more depth is given to the system, reports, and possibilities. “I like the approachable, informal contact. It is important to me that there is a partnership. TKB thinks along with how we use the system and helps us set up our way of working more and more efficiently. About two years ago, for example, we also made use of two secondment staff from TKB who came to support us at peak times,” Joyce says.

There are also components within debtor management that Maandag® prefers to outsource, such as the collection of long-term overdue invoices (collection). Here, it is always important to maintain good customer relations and to collect in a way that suits the organization. TKB’s people-oriented approach suits Maandag®, and it is of course convenient that the collections can easily be transferred to TKB’s collection department via TRUST IT. “The flexible shell in the various services is very pleasant. TRUST IT as a base, and secondment and collection when needed.
